With the help of OCR (Optical Character Recognition), Billit can automatically recognize and extract data from added PDF invoices. This speeds up the processing workflow and reduces manual data entry. In this section, you will learn how OCR works, what you can expect from it, and what you should take into account.
In Billit, OCR is used to automatically analyze information from attached documents and suggest values for input fields. This applies, for example, to:
Invoices (PDF or scanned)
Photos of receipts
Other accounting-related documents
When you add a PDF invoice to Billit (via email, upload, app, etc.), the document is automatically scanned using OCR technology. This functionality is only applied to PDF files.
The OCR technology attempts to recognize and structure the data on the PDF. The recognized information is automatically filled into the corresponding fields in the input screen on the right-hand side. This includes data such as:
Supplier or customer
Invoice number
Invoice date
Due date
Amount
VAT amounts
Please note: Only total amounts are read. Product or order lines are not automatically recognized or filled in.
You will see a suggested processing where the fields are (partially) completed. Always carefully check these details and adjust them where necessary before finalizing the document.
