What is Peppol?

Peppol is a secure European network that allows businesses, public authorities and other organizations to exchange structured electronic invoices (e-invoicing in UBL format) and other documents.

Documents sent through Peppol must meet certain standards. All businesses, public authorities and organizations connected to the Peppol network have a unique Peppol ID (identifier), so you can always be sure of the identity of your customer or supplier.

For whom is Peppol registration required?

In Belgium, VAT-registered companies are legally required to send and receive invoices digitally through the Peppol network. That applies both to invoices they exchange with other Belgian VAT-registered companies and those they exchange with Belgian public authorities.

In other words, almost all businesses in Belgium, from self-employed people and SMEs to large companies, have to register on the Peppol network. Only certain activities and sectors are exempt.

You can check whether your company is subject to this obligation using this handy tool developed by the government.

What do you need to register on Peppol?

You can register on the Peppol network through a Peppol Access Point. A service provider like Billit can give you access. You register using a Peppol ID, which is based on your VAT number or company registration number.

For security reasons, a legal representative of your company first needs to verify their identity before you can register your company. This is easy to do in Belgium using itsme or your eID (electronic identity card) and a card reader

How long does it take to register on Peppol?

Connecting to the Peppol network only takes a few minutes. It’s a very easy process, especially if you are the legal representative of your company.

If you’re not the legal representative, you can only connect your company once that person has verified their identity. If the legal representative is Belgian, it is easy to sort this out by sending an itsme link.

Do I need software to register on Peppol?

Billit provides everything you need to register your company on the Peppol network. Billit is an online platform that works entirely in your browser, so you don’t need to install any additional software.

Do you want to verify the legal representative of your company using their eID when registering? In that case, you will need to install software for the card reader.

Is Peppol registration free?

If you create a Billit account and complete all the steps, you can register your company on the Peppol network free of charge. Then you can try out all the functions of Billit – including the use of the Peppol network – 15 days for free.

Convinced? Then you can buy a paid license to continue using Billit once the free trial period is over.

Sending and receiving e-invoices via Peppol

Once you are connected to the Peppol network through Billit, you can both send e-invoices to your customers and receive them from your suppliers through Peppol.

Suppliers that also use Billit just need to enter your VAT number to see that you are also connected to the Peppol network. The invoices they send you in this way will arrive immediately in Billit, so you can process them automatically. This is a great way for you to save time!
